The role

We are seeking a dedicated Receptionist/Administration Assistant to act as the first point of contact for our trial participants, playing a pivotal role in ensuring a smooth and welcoming experience at our clinical trial centre.

Reporting to the Clinical Operations Manager and the CEO, the role will provide day to day reception and general administrative duties to support the efficient and effective daily running of the centre.

Duties include but are not limited to:

  • Interfacing with trial participants attending clinical trial appointments, clinicians and administrators working within or visiting the centre, general visitors to the centre, as well as liaising with hospital administrative personnel
  • Efficient coordination of clinic communications including answering telephone calls, responding to email inquiries, managing incoming and outgoing mail
  • Maintaining correct and up to date client records including handling confidential documentation and files
  • Assisting team members with scheduling software
  • General opening and closing procedures of the reception area, including basic tidying of the office spaces
  • Providing a wide range of administrative services to the CEO and other senior leaders including assisting with new staff inductions, managing calendars and other administrative tasks as required.

Candidates must be available to work 8:30am – 4pm Monday to Friday. Part time job share applications will be considered.
    
Your skills and experience

  • High level interpersonal skills, including the ability to communicate effectively with trial participants, and form productive professional relationships with stakeholders
  • Demonstrated administrative and office support skills including performing tasks accurately and with a high level of attention to detail
  • Ability to prioritise workloads, meet timelines and work under pressure to ensure efficient and effective delivery of services
  • High level of computer literacy with proficiency in adapting to various databases
  • A solutions-oriented approach with a commitment to patient care, working collaboratively with others and fostering a supportive team environment.
